Here are the top lessons learned to help your next initiative launch with clarity, confidence, and alignment:

1. Process First, Then Systems & Learning. Always.

One of the biggest challenges we observed was the business’ push to meet an ambitious “Go-Live” date—often before processes were finalized. That meant defining workflows, configuring the system, and training end-users all at once.

Tech Ready does not mean “Go-Live” Ready. The “Go-Live” dates already set, without feedback from learning. Then, we try to squeeze in training to fit the schedule. Granted, we do not always have the luxury to provide input on that date but would highly recommend having a “seat at the table” and share the learning feedback. Squeezing-it-in is not the most effective way for user adoption. Not surprisingly, this created confusion, rework, and change fatigue. Employees were overwhelmed, training materials had to be constantly revised, and communications often included last-minute “oh, by the way…” updates that eroded trust.

Lesson learned: Have the courage to slow down early so you can speed up later. Finalize your processes and work instructions before launching training and communications—even if it means re-setting leadership expectations. Alignment upfront saves chaos downstream.

2. Build a Learning Strategy Around Real Needs—Not Assumptions.

Technology only works when people do. That’s why a discovery meeting or needs assessment for each change request is essential. During the transformation, we brought stakeholders together for structured discovery sessions to understand the change, impact, objectives, what they need to know, biz objectives, KPIs, pain points and more!

Lesson learned: The details matter. A strong learning strategy—grounded in process-level discovery—ensures your training is accurate, relevant, and connected to real work. This step also builds alignment across teams and gives change management the insights needed to support adoption.

3. Communicate for Humans, Not for Slides.

When we began observing the training sessions, we saw a familiar pattern: “Death by PowerPoint.” Content heavy decks. Minimal engagement. Overwhelmed participants.

We quickly shifted the approach to persona-based learning, where employees solved real workplace situations using the new system through simulations and practice. We included micro-learnings, no more than 5-7 minutes using AI for Field employees. Engagement skyrocketed—and so did confidence.

Lesson learned: People don’t learn from slide decks—they learn from relevance, emotion, storytelling, and practice. When communications and training are grounded in real scenarios, purpose, and human connection, adoption accelerates.

4. Apply Agile Methodology to Learning-Especially w/ Quick Turnaround

Agile Methodology means iterative, collaborative, and flexible approach that breaks complex, long-term initiatives into small, manageable units – sprints. We were in situations where learning was expected to be provided during UAT and within days of UAT completion. Turnaround time for learning materials varies based on the learning medium, length of time of learning, Subject-Matter Expert involvement and more. At the same time, the business wanted something.

Lesson learned: We gave them something – “emergency training.” This entailed bringing the right stakeholders together: IT and SMEs facilitated with the end-user group. Learning team provided the structure and template. IT walked through what the end-user needed to know in the system with the SMEs providing tips to remember. Learning Expert facilitated the discussion – no formal deliverables. “Structured Office Hours.”
